These contacts don\u2019t need to fit any criteria only that you have chosen to add them to a list. Contacts can only become part of a static list by you importing them into the list, or by manually adding them one by one.<\/p>\n<p><strong>Dynamic lists<\/strong> are more flexible and are created by filtering down from all contacts in your account. You pick your criteria such as \u2018Relationship manager is Mr Smith\u2019 and \u2018Contacts have been opened an email\u2019, which narrows down your list. One big plus of a Dynamic list is that contacts will be added or removed from your list automatically as they meet the criteria.<\/p>\n<h2>Creating Static lists<\/h2>\n<p>When you\u2019ve logged into the StoneShot Platform, head to <strong>Contacts -&gt; Lists<\/strong> and click on the <strong>New List<\/strong> button. From the dropdown, select <strong>Static<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"\/learn\/wp-content\/uploads\/2022\/10\/ManageLists1.fw_.png\" alt=\"\" width=\"462\" height=\"auto\" \/><\/p>\n<p>You\u2019ve now created the basis for your new static list! As we&#8217;ve used a default name, you might want to edit the name to make it more useful. Click on the <strong>Edit pencil<\/strong> on the top left and you\u2019ll be able to edit the name of your list, set any Teams against the list that should have access, and Tag the list if that is required.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"\/learn\/wp-content\/uploads\/2022\/10\/ManageLists16.fw_.png\" alt=\"\" width=\"100%\" height=\"auto\" \/><\/p>\n<p>Now, you can add contacts to your list either by importing <a style=\"font-weight: bold;\" href=\"https:\/\/www.stoneshot.com\/learn\/contacts-lists\/importing\/\">(find out more on the importer here)<\/a> or by adding existing contacts who are already in your account.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"\/learn\/wp-content\/uploads\/2022\/10\/ManageLists2.fw_.png\" alt=\"\" width=\"73\" height=\"78\" \/><\/p>\n<p>Click on <strong>Use existing contacts<\/strong> and you\u2019ll see a list of contacts who exist. You can search through for individual contacts using the search bar, the Company dropdown or via the Relationship Manager dropdown:<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"\/learn\/wp-content\/uploads\/2022\/10\/ManageLists3.fw_.png\" alt=\"\" width=\"100%\" height=\"auto\" \/><\/p>\n<p>Once you have found the contacts you wish to add, tick the contacts using the checkbox on the left-hand side of the screen, or select all contacts on the current page by clicking the top checkbox, and click on the <strong>Add<\/strong> button.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"\/support\/wp-content\/uploads\/2020\/01\/ManageLists4.fw_.png\" alt=\"\" width=\"100%\" height=\"auto\" \/><\/p>\n<p>Your contacts are now added to the list and you\u2019ll see them appear at the bottom of the screen.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"\/support\/wp-content\/uploads\/2020\/01\/ManageLists5.fw_.png\" alt=\"\" width=\"100%\" height=\"auto\" \/><\/p>\n<p>You\u2019re able to carry on adding more contacts or to review your list, click on the <strong>Close<\/strong> button to view the contacts in your list more easily and view any statistics on the contacts in the list.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"\/support\/wp-content\/uploads\/2020\/01\/ManageLists6.fw_.png\" alt=\"\" width=\"auto\" height=\"auto\" \/><\/p>\n<p>If you need to add or remove contacts, click on the <strong>Add\/Remove<\/strong> button. If you need to add more contacts, click on <strong>Add contacts<\/strong> and follow the process you\u2019ve already followed.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"https:\/\/www.stoneshot.com\/learn\/wp-content\/uploads\/2022\/10\/managelists7.fw_.png\" alt=\"\" width=\"100%\" height=\"100%\" \/><\/p>\n<p>If you need to remove contacts, click on <strong>Remove contacts<\/strong>, tick the contacts you wish to remove and click <strong>Remove<\/strong> to take them out of the list.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"\/learn\/wp-content\/uploads\/2022\/10\/ManageLists8.fw_.png\" alt=\"\" width=\"100%\" height=\"auto\" \/><\/p>\n<p>Now you have assigned contacts to your list, you\u2019re able to perform some actions on your new list. You\u2019ll be able to pick from <strong>Bulk assign contacts<\/strong>, <strong>Copy list<\/strong> or <strong>Delete list<\/strong>. First is the Bulk assign tool. This allows you to set all of the contacts in your list to a specific option in your account such as setting them all to \u2018Subscribe\u2019 for a particular Email Preference or setting them to have the same Relationship Manager. To do this, click on the <strong>Actions<\/strong> button and select <strong>Bulk assign contacts<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"https:\/\/www.stoneshot.com\/learn\/wp-content\/uploads\/2022\/10\/managelists9.fw_.png\" alt=\"\" width=\"auto\" height=\"auto\" \/><\/p>\n<p>You\u2019ll see the Bulk Assign section appear. Firstly, select an option from the dropdown which are:<\/p>\n<ul>\n<li><strong>Opt In Status<\/strong> \u2013 Set the entire list of contacts to unsubscribe or subscribe for all mailings<\/li>\n<li><strong>Sales Manager<\/strong> \u2013 Set the entire list of contacts to a specific Sales Manager<\/li>\n<li><strong>Segmentation<\/strong> &#8211; Set the entire list of contacts to a certain segment<\/li>\n<li><strong>Salutation<\/strong> &#8211; Set the entire list of contacts to populate their Salutation (or Custom1) field<\/li>\n<li><strong>Event Status<\/strong> &#8211; Set the entire list of contacts to a status against a session such as Invited, Attended etc.<\/li>\n<li><strong>Document Subscription<\/strong> &#8211; Set the entire list of contacts to subscribe or unsubscribe from a particular document. This can only be used if you have the Document Distribution Solution (DDS).<\/li>\n<li><strong>Content Tag<\/strong> &#8211; Set the entire list of contacts to be subscribed against a particular contact tag. This can only be used if you have the Content Distribution Solution (CDS).<\/li>\n<\/ul>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"\/learn\/wp-content\/uploads\/2022\/10\/ManageLists10.fw_.png\" alt=\"\" width=\"100%\" height=\"auto\" \/><\/p>\n<p>After picking your first option, you\u2019ll be able to pick the value to set all of the contacts in the list to. In this example we\u2019re setting all contacts to have the \u2018Sales Manager\u2019 set to \u2018Gavin John\u2019. By ticking the <strong>Overwrite existing values?<\/strong> checkbox, everyone on the list will be set to \u2018Gavin John\u2019. If you only wanted to set contacts on the list who have no one set as a Sales Manager and anyone who already has a Sales Manager is left alone, simply leave the checkbox <strong>unticked<\/strong>. This is the same for all actions in the bulk assign section.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"\/learn\/wp-content\/uploads\/2022\/10\/ManageLists11.fw_.png\" alt=\"\" width=\"auto\" height=\"auto\" \/><\/p>\n<p>The next action available on your list is the ability to send a report on your list to a colleague. You\u2019re able to choose whether to send the report as a PDF file or as a CSV file. A PDF file will send a snapshot of the list statistics (the charts at the top of your screen). A CSV file will send the list of contacts to the chosen person.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"\/learn\/wp-content\/uploads\/2022\/10\/ManageLists12.fw_.png\" alt=\"\" width=\"100%\" height=\"auto\" \/><\/p>\n<p>If this is a list that you will update over time, you can tell the StoneShot Platform to send you a PDF or CSV file at a specific time. Select <strong>Set up a schedule<\/strong> and fill in the details as you want to receive them. In the below example, a PDF report will be sent out every Monday.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"\/learn\/wp-content\/uploads\/2022\/10\/ManageLists13.fw_.png\" alt=\"\" width=\"100%\" height=\"auto\" \/><\/p>\n<p>One of the most used functions will no doubt be the <strong>Export<\/strong> function. As with the Send function, you\u2019re able to choose between a PDF or a CSV file. A PDF file will send a snapshot of the list statistics (the charts at the top of your screen). A CSV file will download a copy of the contacts for you to open in Excel.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"\/learn\/wp-content\/uploads\/2022\/10\/ManageLists14.fw_.png\" alt=\"\" width=\"auto\" height=\"auto\" \/><\/p>\n<p>If you would like different statistics at the top of your list or need more information on each contact, you can add more options by clicking on the <strong>Edit<\/strong> button. This pops open the edit panel and allows you to build up information on your list. The Charts and Columns you select here are remembered and used when using the <strong>Send<\/strong> and <strong>Export<\/strong> functions as described above.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"\/learn\/wp-content\/uploads\/2022\/10\/ManageLists15.fw_.png\" alt=\"\" width=\"100%\" height=\"100%\" \/><\/p>\n<p>&nbsp;<\/p>\n<h2>Dynamic lists<\/h2>\n<p>When you\u2019ve logged into the StoneShot Platform, head to <strong>Contacts -&gt; Lists<\/strong> and click on the <strong>New List<\/strong> button. Instead of adding and removing contacts, you filter them down using various criteria options.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"\/learn\/wp-content\/uploads\/2022\/10\/ManageLists17.fw_.png\" alt=\"\" width=\"100%\" height=\"auto\" \/><\/p>\n<p>Click on the <strong>Edit<\/strong> button and you\u2019ll see the familiar edit panel appear on the right-hand side. You\u2019ll see Columns, Charts and a new one which is Filters. <strong>Filters<\/strong> is where you can set the criteria for contacts to be able to be part of the list. Click on <strong>Add Filter<\/strong> to see the various options available to you.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"\/learn\/wp-content\/uploads\/2022\/10\/ManageLists18.fw_.png\" alt=\"\" width=\"auto\" height=\"auto\" \/><\/p>\n<p>In the example below, we\u2019ve chosen two separate segments that all contacts must have to be part of the list: <strong>Account Type equals \u2018Client\u2019<\/strong> and <strong>Account Director equals \u2018Gavin John\u2019<\/strong>. Any contacts not matching the criteria are removed from the Dynamic list. The list is ready to be used in an email campaign and will change as people meet\/don\u2019t meet the criteria set.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"\/learn\/wp-content\/uploads\/2022\/10\/ManageLists19.fw_.png\" alt=\"\" width=\"auto\" height=\"auto\" \/><\/p>\n<p>Once you\u2019ve picked your initial criteria, you\u2019re able to set a few different options in the <strong>Actions<\/strong> button. You\u2019ll be able to pick from <strong>Bulk assign contacts<\/strong>, <strong>Push to static<\/strong>, <strong>Copy list<\/strong> or <strong>Delete list<\/strong>. <em><strong>Bulk assign contacts<\/strong> is explained above within Static lists and works in the same way here<\/em>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"\/learn\/wp-content\/uploads\/2022\/10\/ManageLists20.fw_.png\" alt=\"\" width=\"auto\" height=\"auto\" \/><\/p>\n<p>The new function here is <strong>Push To Static List<\/strong>. If you have created your initial dynamic list to create a more fixed Static list you can use this option. You\u2019re able to create a new list from the dynamic list as it is now:<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"https:\/\/www.stoneshot.com\/learn\/wp-content\/uploads\/2022\/10\/ManageLists21.png\" alt=\"\" width=\"100%\" height=\"auto\" \/><\/p>\n<p>Or you can overwrite an existing list and replace that list in its entirety:<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"\/learn\/wp-content\/uploads\/2022\/10\/ManageLists22.fw_.png\" alt=\"\" width=\"100%\" height=\"auto\" \/><\/p>\n<p>As with a static list, you\u2019re able to use the <strong>Send<\/strong> function You\u2019re able to choose whether to send the report as a PDF file or as a CSV file. A CSV file will download a copy of the contacts for you to open in Excel.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3835\" style=\"border: solid 1px #e2e5ea; padding: 10px;\" src=\"\/learn\/wp-content\/uploads\/2022\/10\/ManageLists24.fw_.png\" alt=\"\" width=\"auto\" height=\"auto\" \/><\/p>\n<h2>Suppression lists<\/h2>\n<p>Suppression lists are an optional addition you may wish to include when you are planning to launch an email. The suppression list contains contacts who are not opted out from all mailings, however you want to suppress them from a particular email or group of emails even though they are on the primary list.<\/p>\n<p>This means you won\u2019t have to search through long spreadsheets to remove them, you can simply maintain or create a new suppression list which you select on the Lists step when creating your email. These contacts will then be removed for that particular mailing.<\/p>\n<p>Suppression lists are created and managed in exactly the same way as you create your primary mailing list.<\/p>\n<p>They are supported by both A\/B split testing and automated mailing features.<\/p>\n<h2>Seed lists<\/h2>\n<p>Similar to Suppression lists, Seeds lists are another optional addition that you can choose to insert on the Lists step when creating your email.<\/p>\n<p>Seeds are internal contacts or stakeholders who want to receive a copy of an email at the same time as the primary contact list but who you don\u2019t want to be included in the statistics generated by the Campaign Report.<\/p>\n<p>This means internal contacts opening or clicking emails will not skew your overall data when it is your contacts\u2019 actions that you want to be monitoring.<\/p>\n<p>If you want to check if a Campaign has been sent to a Seeds list, or if contacts have been suppressed using the Suppression list, you simply select the \u2018Show more\u2019 link below your campaign details on the Report page.<\/p>\n<h2>Editing a Static list<\/h2>\n<p>There are several ways to edit a static list, depending on what type of changes you need to make.<\/p>\n<ol>\n<li>If you are only adding new contacts, you can import your new contacts and add it to the existing list by selecting it in the Importer.<\/li>\n<li>If you are not adding new contacts, but just editing existing contacts in a list you can import a list using the \u2018Update Only\u2019 mode and make sure you aren\u2019t creating or adding to a list. This will not create a new list but will update these contacts with the new details. Your existing list\/lists in the Platform will be updated with these details.<\/li>\n<li>If you want to change a preference or segment for every contact in a list, you can edit the list using the Bulk Assign option. Select your list, click the Actions dropdown option, and choose your bulk assign selection. This is available for changing event status, segmentation options, salutation and opt in status.
